If you are going to follow through and cut back your email usage you really need to consider how you are replying to messages that you recieve. Writing quick one line answers that almost ask for a response back especially when you are trying to avoid a continual email conversation are what you really need to avoid.

Taking your time and writing more detailed responses is where you really need to be heading. This is not to say that you need to write a book or a really long email, but then what do I mean you may be asking well, here are a few tips.

Give Details – Try and make sure you give details of something if you think it may be something that the recipient will ask for.

Be clear and concise – While you may understand what you want done, some others may not be as clear it may take you an extra minute but explain what you want done.

Share the deadline – If there is a deadline when the task needs to be done by include that in your email. If you want something done by 5pm and do not mention this it may not be assumed that is what you meant.

By being sure to include the details that others might want in the first email should help to avoid delays, and mean that you will get better results hopefully in less time. Even though you may imagine that you cover everything in almost all cases, there will be people that still feel the need to ask a question. There is a way around this, especially if you have adopted the idea of only checking and replying to email’s twice a day, then mention this at the end, just “by the way i wont be in front of email again till late this afternoon, I am sure you will be able to manage with these details”. This of course is generally more a thing you would suggest to an employee rather then someone from another business.

Finally be sure that your phone number is on the bottom of the email, most people if they need a quick answer often don’t have a problem calling, and as long as you are efficient in how you handle your calls, you should be able to deal with a phone call a lot quicker then checking email often.

I had a thought earlier today that being able to write a post without actually being online would be a rather good idea. Primarily because i know that for myself there is a great deal of distractions involved in being connected to the Internet.

Well a quick search for WordPress Offline composer, turned up a few results but the first one which caught my eye was a post by Paul at CapsLockAssassin.com talking about a program called Windows Live Writer. So off i go to the Microsoft website to download.

I am quite glad i did as well, as it seems so far to be a really good idea. Where i think it will provide the biggest benefit to everyone here is the ability to use it when you are not connected to the Internet yet still write in the same way that it will be displayed on your WordPress Blog.

Really at this point the only downfall that i have found in the program is that i cannot find how to schedule a post rather then to publish or just save as draft. While saving as draft is probably the easiest option for me, hopefully there is an option to publish as a scheduled post online. The one feature that i like is the while i type spell checking. When i am writing in WordPress it self i have to save the draft or such to see the incorrect spelling, however here the red lines show up straight away, this should save me a little time.

Anyway if you do a bit of writing offline, then you should really consider downloading Windows Live Writer and giving it a try.

P.S. I found the Schedule option it is at the bottom.

It would seem that the more writing i have been doing the more that i can get into the swing of writing an article. sometimes really all it is taking for me to write some articles is a simple idea, which is not that hard for me to comes up with as i am literally always thinking. Sometimes the subjects seems to all go along one path for a period of weeks, but the end concept is that i build up articles.

Working anywhere i think really helps this flow of idea’s to take a path of it’s own, which i think really comes from not being restrained within a single location. If i was forced to do all my writing in one place and never be able to change that place then i think my writing would be a lot more restriced and maybe i would not find that i can write as easily.

This is something that really comes from what i disucessed a few days ago in regards to flexibility. I seem to have more time to think and more freedom in what i think about by not being restricted to one place. Just in the last week this has meant about 6 or 7 different posts and articles, at least 3 of which have exceeded 1,000 words. Even just today between home and the coffee shop this is my 4 post today. Some of this i have written for posting straight away and some are part of a larger group of posts that i want to share in the near future. But it is writing that i think never would have been possible if i was not in the position to work when and where i want. Effectivly able to sit down and just start writing about the topic that i have thought about just minutes earlier.
